At earthvibrance.com, we stand behind the quality of our factory-made apparel. We understand that sometimes items may not meet your expectations, which is why we’ve created a fair and transparent return policy tailored to both retail and bulk orders. Please review the details below:
1. Eligibility for Returns (Retail Orders)
To be eligible for a return, exchange, or refund on retail orders (purchases of 1-9 items), the following conditions must be met:
- The apparel must be returned within 45 days of the delivery date (extended from standard 30 days as a factory store courtesy). Returns received after this period will not be processed.
- The item must be in its original condition: unworn, unwashed, unaltered, and free of any signs of damage, stains, or wear (e.g., no holes, tears, or fading). All original tags, packaging (including eco-friendly plastic sleeves or boxes), and factory stickers must be intact and returned with the item.
- Returns are accepted for the following reasons: (a) Manufacturing defects (e.g., faulty stitching, holes, tears, defective fabric, or uneven dyeing—common checks in our factory quality control, but rare oversights); (b) The item received is different from the order (e.g., wrong size, style, color, or design); (c) Damages incurred during shipping (must be reported within 7 days of delivery, with photos of the package and item); (d) Sizing issues (even if the size chart was referenced—we understand fit preferences vary).
- Returns are NOT accepted for: (a) Normal wear and tear, fading from washing (if care instructions were followed), or damage caused by improper care (e.g., using bleach, high-heat drying); (b) Items that have been worn, washed, or altered by the customer; (c) Final sale items (marked as “Final Sale” on the product page, including factory clearance items, discontinued styles, or damaged-but-discounted apparel); (d) Custom-branded retail items (e.g., personalized tees with your name or small-batch custom designs—unless the error is due to our factory).
2. Eligibility for Returns (Bulk Orders)
For bulk orders (10+ items, including custom-branded apparel), returns are handled separately to account for the custom production process:
- Bulk order returns must be requested within 30 days of delivery. For large bulk orders (50+ items), we may require a detailed list of defective items (rather than returning the entire order).
- Returns are accepted for: (a) Manufacturing defects (e.g., stitching errors, fabric flaws, or printing/embroidery mistakes that deviate from the approved proof); (b) Wrong items (e.g., incorrect style, size, or color compared to the order); (c) Damages during shipping (must be reported within 48 hours of delivery for bulk orders, with photos of the packaging and affected items).
- Returns are NOT accepted for: (a) Customer errors (e.g., wrong size selection, incorrect logo approval, or changes to the order after production begins); (b) Custom-branded items that match the approved proof (even if you later dislike the design); (c) Minor variations in color or print (natural for large-batch production in our factory); (d) Apparel that has been distributed, worn, or washed (e.g., team uniforms that have been given to staff/players).
- Bulk order refunds may be partial (for defective items) or full (if the entire order is faulty). We may also offer to re-produce the defective items free of charge (for manufacturing errors) instead of a refund, at your option.
3. How to Initiate a Return
To initiate a return for retail or bulk orders, follow these steps:
- Log in to your earthvibrance.com account and navigate to the “My Orders” section (for retail orders) or “Bulk Orders” tab (for bulk purchases).
- Select the order containing the items you wish to return and click “Request Return.” For bulk orders, specify the number of defective items and provide details about the issue.
- Provide the reason for the return, attach clear photos of the issue (e.g., manufacturing defect, wrong size, or shipping damage), and include a copy of the order confirmation or approved proof (for custom bulk orders).
- Submit your return request. Our team will review retail return requests within 2-3 business days and bulk return requests within 3-5 business days. You will be notified via email if your request is approved.
- If approved: (a) Retail orders: You will receive a prepaid return shipping label (for orders within the contiguous United States) and return instructions. (b) Bulk orders: We will arrange for a freight pickup (for large quantities) or provide a prepaid label (for smaller bulk orders). For defective bulk items, we may request photos instead of return shipment (to save time and reduce waste).
- Package the items securely: (a) Retail: Place the item in its original packaging with tags intact. (b) Bulk: Package defective items in a sturdy box (we recommend reusing the original factory shipping box) and include a copy of the return approval email. For large bulk orders, mark the box clearly with the return authorization number provided in the approval email.
- Ship the return: Drop off retail returns at the designated carrier location. For bulk orders, follow the freight pickup instructions or drop off at the specified location. Retain the tracking number for your records.
Note: Do not send returns to our factory address. Use only the return address provided in the approval email—sending items to the wrong address may result in delays or loss of your return.
4. Refund, Replacement, and Store Credit Process
Once we receive and inspect your returned items (retail: 5-7 business days; bulk: 7-10 business days), we will process your request:
- Refunds: (a) Retail: Refunds are issued to your original payment method within 3-10 business days of inspection. Original shipping costs are non-refundable unless the return is due to our error. (b) Bulk: Refunds for defective items are issued to your original payment method or applied as a credit to your next bulk order (your choice). Shipping costs for bulk orders are refundable only if the entire order is defective.
- Replacements: (a) Retail: We will ship a replacement item (same style, size, color) free of charge for U.S. orders. (b) Bulk: Defective items will be re-produced and shipped free of charge (for manufacturing errors). We will send a production timeline for replacements.
- Store Credit: If you prefer store credit (retail or bulk), we will issue it to your earthvibrance.com account within 2 business days of inspection. Store credit never expires and can be used for any future purchase (including bulk orders).
5. International Returns
For international retail and bulk orders, customers are responsible for all return shipping costs, including customs duties, taxes, and insurance. We recommend using a trackable and insured shipping service for bulk orders. Refunds will exclude original shipping costs and any customs fees paid at the time of purchase. International returns may take 10-14 business days to process due to customs delays.
